How Does the System Work?
In business there are two types of billing:
a. recurring billing - like rent, membership dues, monthly services
b. labor billing - billed by the hour based on work done
Invoicing system has two systems to support both types of billing. Recurring billing is done by setting up services. Hourly billing is done by recording work into the system. Both systems invoice quickly by preparing invoices in batches.
2. How is recurring billing done?
Recurring billing is essentially a repeatable task. Think of having all your members in a database, one screen for each member. On that screen you have Membership Dues. This is where you set (shown in the screen above):
a. The billing period (monthly, quarterly, yearly)
b. The Name of the Service
c. The Amount of the Service
d. The Date when the Service went into effect.
Each time you run automatic billing the system will:
a. Determine which of your members are due.
b. Prepare and print an invoice.
c. Make a notation in the system they have been invoiced.
d. Adjust their cycle date for the next billing period.
3. How do the Invoices come out of the System?
The invoices and envelopes come out of your printer in batches. The invoices are in Microsoft Word format and the mailing labels are in XML format for a label printer. You press one button and all the invoices and mailing labels come out the printer. It is a fully automated task.
4. How Does the System Record Who Has been Invoiced?
When a customer is invoiced, the system automatically makes an entry (on their contact record) that they have been invoiced. The system includes a past due accounts report, that you can run at any time, showing members who haven't paid. When payments come in, you record the payment, essentially working down the past due report to keep everyone current.
5. Will this system work with my invoice?
This system has a specific invoice format that will be provided to you. They are in Microsoft Word format so owning Word is a requirement. Mailing labels are formatted for the Dyno Mailing label printer. Getting the invoices and mailing labels to format and print properly is not guaranteed. It requires coordination. It is worth the effort because this system invoices quickly, accurately, and with an absolute minimum of time and effort.
